How Gastos Compartidos Works
Create expense sheets, invite members, record expenses, and get automatic balances — without confusion.
Quick summary
Gastos Compartidos works in five steps: you create a sheet, invite other members, record expenses, the system automatically calculates balances, and you settle. Everything is verifiable, transparent, and neutral.
The 5 main steps
Create an expense sheet
You access the platform, click "New Sheet" and fill in:
- Sheet name (e.g., "Lucy's Expenses 2026")
- Optional description (e.g., "Education and activities")
- Currency (pesos, euros, dollars, etc.)
You are automatically the administrator of the sheet.
Invite other members
From the sheet, you generate an invitation code (or a shareable link):
- You copy it and pass it to the other person via WhatsApp, email, etc.
- They click it, register with their email
- They automatically appear as members of the sheet
- They can be in any Spanish-speaking country
You can add unlimited members.
Record expenses
Each member who paid an expense records it on the sheet:
- Amount (e.g., 500 pesos)
- Category (education, utilities, transport, etc.)
- Description (e.g., "School tuition November")
- Who paid (automatically the registered member)
- Who benefited from the expense
Date and time are recorded automatically.
System calculates balances
Gastos Compartidos automatically processes:
- Who paid what and how much
- Who should have paid their share
- Who owes whom and exactly how much
- Optimal settlements to close the balances
Balances update in real time with each new expense.
Settle and close
With clear balances, you can:
- Transfer money according to the calculated balances
- Export a PDF report with all documentation
- Share the report with mediators, lawyers, or accountants
- Continue recording expenses or close the sheet
Everyone has access to the verifiable history at all times.
Example: Balance calculation
Imagine an expense sheet shared between Sarah and Michael with education expenses for their child.
| Date | Paid by | Amount | Beneficiaries | Description |
|---|---|---|---|---|
| 03/01/2026 | Sarah | 600 € | Both | School tuition |
| 03/05/2026 | Michael | 200 € | Both | Extracurricular activities |
| 03/10/2026 | Sarah | 400 € | Both | Books and materials |
Total expenses: 1,200 €
Each person's share: 600 € (50%)
Sarah paid: 1,000 €
Michael paid: 200 €
Sarah should pay: 600 € (her share)
Michael should pay: 600 € (his share)
Pending balance: Michael owes 400 € to Sarah
(because he paid 200 € but his share is 600 €)
Settlement: Michael transfers 400 € to Sarah.
The system does this automatically, even with multiple members, categories, and complex periods.
Features during recording
Observations about expenses
If a member disagrees with an expense, they can mark an observation:
- → The expense is tagged as "with observation"
- → Balances continue to be calculated, but everyone sees there is an observation
- → Prevents surprises and friction later
Professional access
If you need a mediator, lawyer, or psychologist to see the information, you can:
- → Share the sheet with read-only access
- → Requires explicit consent from all members
- → The professional can see everything but cannot modify anything
